Who is responsible for your information?

DPM Fire & Security Ltd is the data controller for personal information collected through this website and through enquiries made to us. Our company number is 10190387.

Information we may collect

Depending on how you contact or use the website, we may collect:

  • your name, organisation, telephone number, email address and address or postcode;
  • details about the service, property or system you are asking us about;
  • messages you send to the DPM website assistant;
  • correspondence, quotations and records created while handling your enquiry; and
  • limited technical information, such as an IP address and browser information, used to deliver, protect and troubleshoot the website.

Please do not submit passwords, alarm codes, access codes, detailed security layouts or other unnecessary sensitive security information through the website assistant.

How and why we use it

We use personal information to respond to enquiries, understand the work required, prepare quotations, arrange visits, provide contracted services, maintain business records and protect the security and reliability of our website.

Our lawful bases

  • Contract: where the information is needed to take steps at your request before entering a contract, or to perform a contract with you.
  • Legitimate interests: to answer genuine enquiries, operate our business, keep appropriate service records and protect the website, where those interests are not overridden by your rights.
  • Legal obligation: where we must keep or disclose information to comply with the law.

The DPM website assistant

The assistant uses artificial intelligence to answer questions about DPM services and help prepare an enquiry. Messages are sent securely to OpenAI through its business API to generate a response.

Your conversation is not sent to DPM automatically. If you choose Send enquiry to DPM, the conversation and contact details you provided are sent through Formspree for delivery to DPM by email. Formspree also keeps a temporary submission copy so a genuine enquiry can be recovered if the notification email is missed.

DPM does not use the assistant to make automated decisions about you and does not intentionally store a permanent copy of the chat on this website. OpenAI states that API data is not used to train its models unless the account holder opts in. It may retain prompts and responses in abuse-monitoring logs for up to 30 days, unless a longer period is required by law or needed to protect its services.

The assistant can make mistakes. Do not rely on it for emergency, life-safety or site-specific compliance advice. Call DPM on 01953 433123, or call 999 if anyone may be in danger.

Who we may share information with

We share information only where it is reasonably necessary. This may include website and IT providers, OpenAI as the provider supporting the website assistant, Formspree as the provider delivering submitted website enquiries, professional advisers, subcontractors involved in an agreed service, and regulators or public authorities where required by law.

Some technology providers may process information outside the UK. Where this happens, we rely on the provider’s contractual and legal safeguards for international transfers.

How long we keep information

We keep enquiry and customer records only for as long as reasonably needed to handle the request, provide and support our services, meet legal and accounting requirements and resolve disputes. Retention depends on the nature of the record and our relationship with you.

Website assistant conversations are not intentionally retained by DPM as a customer record unless you choose to send the enquiry. Submitted enquiries are then retained as business correspondence for as long as reasonably necessary to respond and manage any resulting customer relationship. The AI provider’s abuse-monitoring retention and Formspree’s temporary submission copy are described above.

Cookies and website technology

This website does not currently use advertising or behavioural-tracking cookies. Our hosting, security and font-delivery providers may receive limited technical information needed to display and protect the website. If we introduce non-essential analytics or marketing cookies, we will update this notice and request consent where required.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, have inaccurate information corrected, request deletion or restriction, object to certain uses, or receive information in a portable format.
